Process automation that lets your systems do the work.
Caster Consulting implements process automation for small and mid-sized companies: we connect your webshop, ERP, CRM, invoicing system, e-mail and Excel sheets, and automate approvals, reports and data entry. With Microsoft Power Automate, n8n or custom integrations, routine tasks run on their own, errors drop and your team gets its time back.
Sound familiar?
Your systems live apart, and people connect them.
In most companies a large share of working time goes into someone moving data from one place to another. These steps are easy to describe, which means they are easy to automate.
01
The same data is entered several times
A webshop order goes into the ERP, then into the invoicing system, then into an Excel sheet. Every copy costs time and invites errors.
02
Approvals get stuck in e-mail threads
Purchase requests, leave requests, contracts: nobody knows exactly who has it and when it will be approved.
03
The monthly report takes days
Every month someone pulls figures from several systems and assembles the spreadsheet for management by hand.
04
Incoming e-mails and forms are handled one by one
Quote requests, orders, customer tickets: each has to be read, forwarded and recorded.
How it works
Data entered once, in every system.
An event, such as a new order, an e-mail or a form, starts the automation. It checks and enriches the data, then sends it to every system that needs it. Nobody has to copy it across.
What we automate
Where automation pays off quickly.
We start from proven patterns and fit them to the systems you already have, not the other way round.
Connecting systems
Automatic data sync between webshop, ERP, CRM, invoicing and warehouse systems, so every piece of data is entered only once.
E.g. invoice and delivery note created from an order
Approval workflows
Purchase, leave and contract approvals with clear steps, reminders and a searchable history.
E.g. multi-level approval by amount
Automatic reports
Figures gathered from several systems in a consistent format, delivered to managers on schedule by e-mail or in Teams.
E.g. weekly sales and receivables report
E-mail and form processing
Data from incoming e-mails and forms goes straight into the right system. Where the text needs interpreting, we classify and extract data with AI solutions.
E.g. logging quote requests in the CRM
Document workflows
Contracts, quotes and certificates generated from templates, filed and stored automatically in SharePoint or your document management system.
E.g. generating a quote from CRM data
Notifications and alerts
Let the system tell you when something needs attention: an approaching deadline, low stock, a late payment, a stuck order.
E.g. Teams alert for an overdue invoice
How we work
We assess, automate and keep it running.
01
Process review
We map your routine tasks and rank them by how much time they take and how well they can be automated.
02
First automation
The process with the best return goes live first, with metrics agreed up front: hours saved, error rate.
03
Extension
Automating the next processes, building on shared data connections, fully documented.
04
Monitoring and maintenance
We watch the runs, handle errors and keep up with changes in the connected systems.
Reliable operation
Automation you can build on.
People where they matter
Where a decision carries weight, the workflow pauses and a colleague approves it. Every other step runs on its own.
Logging and documentation
Every run is logged and searchable, and every automation is documented, so the knowledge does not live in one person’s head.
Error alerts and maintenance
If a step fails, we are alerted straight away and deal with it. We also track updates to your systems so the automations keep working.
From our team’s projects
What our team has achieved.
Earlier projects of our team members at international enterprises and SMEs. We do not name the clients.
A leaner, in-house marketing system replacing SAP Emarsys
An electronics retail chain operating in two countries ran its marketing on a large, complex SAP Emarsys setup. We developed its own system on the ZEBEQ no-code platform, which replaced it in five months: campaign management, segmentation and customer communication now run automatically, with extended functionality and at lower cost.
FAQ
What people ask about automation.
How much does an automation project cost?
The process review is fixed-price. After that we quote each automation item by item, so you know up front what it costs and how much time it saves.
Which tools do you use?
Mainly Microsoft Power Automate, n8n and custom integrations via APIs. We choose the tool based on your existing systems, your licences and the task.
Do we have to replace our current systems?
No. Automation is built between the systems you already have. If a system cannot be connected to anything, we tell you and propose a solution.
What happens if an automation fails?
We receive an alert, the run can be traced in the log, and we fix the problem. Under a maintenance agreement we respond to incident reports within 24 hours.
How do you measure the results?
During the review we record how much time a process takes and how often errors occur. After go-live we measure the same things, so the savings show up in numbers.
